Privacy Policy
AJ Presentations (trading as AJPresentations, ABN 17 673 374 539) ("we", "us", "our") is committed to protecting your personal information in accordance with the Australian Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and applicable New South Wales legislation. This policy explains how we collect, use, store, and disclose your personal information across our website, our customer relationship management (CRM) system, our client portal (MY AJP), and the messages, emails, and calendar invites we send you as part of delivering our services.
1. Information We Collect
We collect the following categories of personal information when you visit our website, request a quote, book a service, communicate with us, or use our client portal:
- Full name
- Email address and phone number
- Residential or service address (and access notes such as parking, keys, alarm codes, pets)
- Property details you provide for quoting (bedrooms, bathrooms, levels, square metreage, condition)
- Service preferences, scope of work, add-ons selected, and free-text notes
- Booking history, recurring schedule, completed jobs, photos of completed work, and internal job notes
- Quotes issued, invoices, payment status, and Stripe payment metadata (we do not store full card numbers)
- Account credentials and profile information for the client portal (MY AJP)
- Communications you send us (SMS, email, contact form messages) and our replies
- Marketing attribution data (UTM parameters, referring page, click identifiers) when you arrive from an ad
- Browser type, IP address, device information, and cookie identifiers (collected automatically)
We only collect personal information that is reasonably necessary for our business functions and activities, as required by APP 3.
Video walkthroughs are live calls and are not recorded.
If you use the link we send to pick a time for a call, we record the time you picked and when you opened the link, so we can call you when it suits. If you open one of the pages we send you a link to, such as our checklist or reviews, we record which page you opened, when, and how far you read, so we know what to cover when we speak. If you answer the optional questions on the page you see after enquiring, we keep your answers with your enquiry.
2. How We Use Your Information
In accordance with APP 6, we use your personal information for the primary purposes for which it was collected:
- Responding to quote requests, enquiries, and follow-up questions
- Scheduling, delivering, and re-delivering cleaning services
- Maintaining a record of your property, preferences, and service history in our CRM so the same team can return prepared
- Sending transactional emails and SMS such as quote confirmations, booking confirmations, reminders, on-the-way notices, receipts, payment links, and service follow-ups
- Issuing invoices and processing payments via Stripe
- Providing access to the MY AJP client portal so you can view your upcoming jobs, history, credits, and invoices
- Adding your booking to our internal Google Calendar so our team is rostered correctly
- Measuring and improving the performance of our website and advertising
- Complying with legal, tax, and insurance obligations under Australian law
After you enquire or book, we may send you a small number of emails about your enquiry, your walkthrough and your booking, including information about how our service works. Every one of these includes an unsubscribe link, and unsubscribing stops them straight away. Quotes, agreements and receipts still come to you because they are about your booking.
We will not use your information for an unrelated secondary purpose without your consent.
We measure whether our emails are opened and which links in them are clicked, so we can tell which are useful.
3. Messages, Emails & Calendar Invites
As part of delivering our services we may contact you by SMS, phone, email, and (where applicable) shared calendar invites. These messages are transactional. They relate to a quote you requested, a job you booked, an invoice we issued, or a reply to something you sent us. Texts come from our business mobile and are sent by a person. Reply STOP to any text and we'll stop texting you. You can use the unsubscribe link on emails where one is offered. Opting out of service-related messages may prevent us from confirming or delivering your booking.
We send emails through our email service providers. Replies come to support@ajpresentations.com, which runs on Google Workspace.
4. Cookies & Tracking Technologies
Our website uses cookies and similar technologies to enhance your experience and measure the effectiveness of our advertising. Specifically, we use:
- Meta (Facebook) Pixel: a small piece of code that tracks page views and conversions on our site. This helps us understand how visitors interact with our website after viewing our Facebook or Instagram ads.
- Meta Conversions API (CAPI): a server-side tracking method that sends event data (such as quote submissions) directly to Meta. This works alongside the Pixel to improve ad measurement accuracy, even when browser-based tracking is limited by ad blockers or privacy settings.
- Microsoft Clarity: on our public website we use Clarity to see how visitors use our pages, through heatmaps and session recordings. It does not run in the client portal or our internal systems.
- Google Ads tag: our website loads Google's advertising tag, including enhanced conversions. When you submit an enquiry, a hashed version of your email address and phone number may be sent to Google to measure whether our ads led to it.
- Vercel Analytics and Speed Insights: our hosting provider measures page visits and page speed in aggregate.
- Essential cookies used for basic site functionality, including keeping you signed in to the MY AJP client portal.
You can manage cookie preferences through your browser settings. Disabling cookies may affect your experience on our site but will not prevent server-side tracking via the Conversions API. By continuing to use this website, you consent to the use of cookies as described in this policy.
5. Advertising & Remarketing
We use Meta (Facebook/Instagram) and Google advertising platforms to reach potential customers. Data collected through our advertising tags and Conversions API may be used to:
- Measure ad performance and conversions
- Create custom audiences for remarketing
- Optimise our ad delivery to reach people most likely to be interested in our services
Personal data sent to Meta or Google is hashed using SHA-256 before it is sent. Data sent to Meta is subject to Meta's Privacy Policy. This data sharing constitutes a disclosure to an overseas recipient under APP 8, and Meta may process data outside of Australia.
6. Disclosure of Personal Information
In accordance with APP 6, we do not sell your personal information. We may disclose your data to:
- Our cleaning team members (to quote, schedule, and deliver services)
- Supabase (our backend, database, authentication, and file storage provider)
- Google (Calendar, Maps/Places, and Workspace email used to coordinate jobs)
- Resend (email delivery)
- Lovable (our website and app platform, and sign-in emails)
- Vercel (website hosting)
- Microsoft (Clarity analytics)
- Software providers, including AI-based tools, that help us run the business, for example to organise enquiries, analyse our own business records and draft messages. They receive only what that task needs.
- Stripe (payment processing for invoices and the client portal)
- Meta Platforms, Inc. (for advertising measurement, as described above)
- Our other analytics providers
- Our accountants, insurers, and legal advisers where reasonably necessary
- Law enforcement or regulatory bodies when required by Australian law
7. Cross-Border Disclosure
Some of our service providers (including Meta, Stripe, Google, Resend, Supabase, Lovable, Vercel and Microsoft) may store or process data outside of Australia, typically in the United States or European Union. Resend is a United States company; our emails are sent through its Japan region. Before disclosing personal information to an overseas recipient, we take reasonable steps to ensure they comply with the APPs, as required by APP 8.
8. Data Security
In accordance with APP 11, we take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. Data transmitted through our forms and portal is encrypted in transit via HTTPS, our database is access-controlled with row-level security policies so staff and clients only see records they are entitled to, and payment card details are handled directly by Stripe and never stored on our servers.
9. Data Retention
We retain client and job records for as long as you remain a customer and for a reasonable period afterwards so we can honour our satisfaction guarantee, respond to disputes, meet tax and accounting obligations (generally 7 years for financial records under Australian law), and resume service if you return. Quote enquiries that do not convert are retained for up to 24 months for follow-up and audit. We will take reasonable steps to destroy or de-identify personal information once it is no longer needed for any purpose permitted under the APPs.
10. Photographs
We take before-and-after photographs of the work, and you may send us photographs of the property when you ask for a quote. We may use these in our marketing, including on this website and in advertising. We never publish your name, your address, or anything that identifies you or your home. You can tell us at any time, in writing, that you do not want your photographs used, by text, email or on paper, and we will stop using them and remove them from anything we control.
11. Your Rights Under the Privacy Act
Under the Australian Privacy Act 1988 and the APPs, you have the right to:
- Access the personal information we hold about you (APP 12)
- Request correction of inaccurate, out-of-date, or incomplete information (APP 13)
- Request deletion of your data where it is no longer needed and we are not legally required to keep it
- Opt out of non-essential communications at any time
- Close your client portal account by contacting us
- Complain if you believe we have breached the APPs
We will respond to access and correction requests within 30 days. If we refuse a request, we will provide written reasons.
12. Complaints
If you believe we have breached the Australian Privacy Principles, you may lodge a complaint with us using the contact details below. We will investigate and respond within 30 days. If you are not satisfied with our response, you may escalate your complaint to the Office of the Australian Information Commissioner (OAIC).
13. Changes to This Policy
We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. We encourage you to review this page periodically. Continued use of our website after changes constitutes acceptance of the updated policy.
